
Connect your Yuki administration to Xcellerate OPS and every invoice you send from OPS is created in Yuki as a sales invoice, automatically. No more retyping invoices. This guide is for admins of IT MSPs and service businesses that already keep their books in Yuki.
TL;DR
- You need a Yuki API key, the Administration ID and the admin role in OPS.
- When an invoice moves from draft to sent, OPS creates it as a sales invoice in Yuki.
- A manual import brings existing Yuki sales invoices and customers into OPS.
Before you start
- You are an admin of your OPS workspace.
- Your Yuki account has API access. You have a Yuki API key and the Administration ID of the administration you want to book into. Where these sit in Yuki can vary; if in doubt, ask whoever manages your Yuki account.
- External e-invoicing is not switched on in OPS. While it is, the Yuki integration does not apply.
- No webhooks or redirect URLs are needed.
Connect Yuki in 5 steps
Step 1: open the integrations board
In OPS, go to Settings → Integrations. If there is no Yuki card in the Billing column yet, add Yuki from the Catalog.

Step 2: enter your details
On the Yuki card, fill in API key and Administration ID, then click Save. You should see "Yuki settings saved."
Step 3: test the connection
Click Test connection. On success, OPS shows "Yuki connection successful."
Step 4: make Yuki the push target
Click Use for invoice push. OPS confirms "Invoices now sync to Yuki on finalization." and the card shows the Push target badge.
Step 5 (optional): import existing data
Under Manual import from Yuki, set a From date and click Import companies & invoices.
What happens after you connect
- Automatic push. When an invoice in OPS moves from Draft to Sent, including invoices from billing schedules, OPS creates a sales invoice in Yuki. It carries the reference, invoice date, due date, currency, the customer (name, VAT number, e-mail) and the lines with description, quantity, net unit price and VAT %.
- Status on the invoice. Each invoice shows whether it synced. If it failed, you see the error and a retry button.
- Manual import. The import fetches sales invoices since the date you chose, with their lines and paid status. Customers are matched by VAT number, then by name, and created if they are new. Running the import again skips documents that were already imported.
- Invoices only. Quotes are neither pushed to Yuki nor imported, because Yuki has no quotes.
Good to know
- Only one accounting provider receives invoices from OPS at a time.
- Invoices you import from Yuki are not pushed back to Yuki.
- If you save with the API key field left blank, the stored key is kept. After saving, the key is never shown again; the Administration ID stays visible.
- To stop sending invoices to Yuki, click Stop invoice push. If a Billit key is also set up, the invoice push falls back to Billit.
- Tip: after connecting, send one test invoice first and check it in Yuki.
Troubleshooting
Yuki responded with HTTP <code>on Test connection: usually the API key or the Administration ID is wrong. Check both and test again.Configure this provider first.: you tested or imported before saving a key. Fill in the fields and click Save first.Configure and connect this provider first.: you clicked Use for invoice push before the connection was set up. Complete steps 2 and 3 first.Import failed: <error>or… N skipped because the customer has no name or VAT number.: some documents have a customer without a name or VAT number. Complete them in Yuki and run the import again.
